Run and Schedule Reports
How to Run and Schedule reports in the platform
The LMS allows team leaders and team admins to run various reports, enabling them to view enrollment details and statuses categorized by learning paths, courses, or individual users.
My Reports displays a list of all the reports you are able to run. This list will be more limited for team leaders since they can only run reports for their direct reports.
Video Overview
Watch this video (~5 minutes) to learn how to run reports, set report parameters and filters, and how to schedule recurring reports. Or, read the article below.
Running Reports
From My Reports, select the report you would like to run. You can scroll down to look through the options or use the search feature to find a specific report. The reports labeled WorkForge are preferred reports commonly used, but many other reports are available for you to run. Team leaders also have a feature on the My Team Home screen for Quick Reports, which provides convenient access to the reports available to them.
Remember to utilize the filter features with the Search button to find what you want to report on. Once you've chosen the report and applied necessary filters, click Run to generate the report. You can review the data in the browser, export it, or show all if you wish to view it in the browser.
Tip: the Learning Path Status Summary report is one of the most useful reports for Team Leads and Admins. This report offers a summary for each learning path. It allows team leads to see a list of the learning paths their direct reports are enrolled in, along with their completion status. Team admins can view this information for the entire organization and generate this report for every learning path in the LMS.
Exporting Reports
You can export a report in various formats by clicking on the icon corresponding to your preferred export format. You can download the report or email the attachment directly to the stakeholders. After downloading the report, open the file to view it in a spreadsheet. Enable editing and click in the field to format as needed.
Scheduling Reports
Though team leaders and team admins can both run reports, only team admins have the ability to schedule recurring reports. To schedule a report, select the desired report you wish to schedule and then click Schedule Report. Then simply:
- Provide reporting details (the mandatory fields like job name, format and job end date)
- Set parameters (think of these as filters; you can filter by organization or user groups, or click the search icon to find desired filters; be sure to indicate if you want to include expired users or not)
- Set the Dates: The Date From and Date To fields can be changed to be variables instead of fixed dates by entering a Dynamic Date Tag. Entering a specific tag allows the report to adjust to the desired period each time it runs.
- Indicate recipients who will receive the reports and choose the delivery method.
When sending the report to multiple recipients, separate each email address with a comma.
- Schedule your report (the end date will specify for how long the report will continue to generate)
At this stage, you will receive a confirmation that the scheduled report has been set up, including details regarding when the report will begin its scheduled runs.
Security Tip: Changing the report format to Excel is advisable because it allows you to add a password. The added security measure helps protect the information if the report is shared outside the company.
