Create Recurring Training Offerings

Learn about certification offerings and how to create recurring or expiring offerings.

Certification Offerings

Offerings help manage the delivery of learning content within the LMS by controlling how courses are presented to learners. Offerings are also used to track enrollments and completions. 

Certification offerings are used to create recurring trainings. This type of offering can set a course to be renewed at regular intervals or be a one-off certification completed once. Certification offerings can also store multiple completion records for a single course.

Certification offerings can be created for a variety of learning types, including online courses, tests, and surveys.

To create a recurring training, you need to create a Certification Offering. These are used to create recurring pieces of training because they can set a course to renew at regular intervals. 

Creating a Certification Offering

Team admins or system admins can create a recurring training, known as a certification offering, from the Learning Navigator by following these steps:

  1. Expand the folders to find the course or content object you want to offer.
  2. Click on the course title.
  3. Click on the Self-paced tab to view the current offerings
  4. Click on the action icon at the top.
  5. Click on Create Certification Offering. The screen will refresh to the Create Offering screen.
  6. Review the fields and edit anything needed.
  7. Click on Create.

The Create Offering screen includes various fields to determine the offerings configurations. Let's look at these fields in more detail. 

  • Link to Content Object will be prepopulated if the offering is being created from a content object, otherwise the content object must be selected.
  • The offering name will be prepopulated with the content object name by default, but we recommend renaming certification offerings to clearly indicate they are recurring by adding the word "Annual" or "Monthly" to the end of the offering name.
  • Choose the modality of the offering as either online content, document, PDF document, library course, or an assessment. Typically, the modality for a certification offering will be Library Course or Online Content. For tests and surveys, use Assessment for the modality.
  • Inherit Folder Enrollment Conditions allows you to either inherit the default targeting conditions set at the folder level or modify the enrollment conditions you want to offer.
  • The certification type for an offering can require renewal where the course must be repeated at regular intervals, or a one-off certification where the course is completed only once.

Timing Definitions and Scheduling

To schedule a recurring training offering, you will want to select Renewal Required. The renewal of a certificate can be based on the following three options:

  • Completed Date: Renewal date is determined by when the learner attains "Completed" status, plus the value set in the "Renew Certification" field. 
  • Due Date: Renewal is based on a predetermined due date, regardless of when the learner achieves "Completed" status. 
  • Fixed Date: Certification renewal will be due on a specific day and month each year.

For Initial Completion, enter the number of days after the initial enrollment the learner has to complete the certification. I.E. If 30 days is entered, it will be due 30 days after it’s assigned.

Renew Certification determines the duration the certification will remain valid and provides the option to choose between days or months as the unit of measurement. If you enter 365 days, the certification will expire after 365 days. 

Once the Renew Certification is set, you have the option for Renew to End of Month. This option adjusts the due date for certification renewals to the last day of the calendar month instead of a specific date. For example, if a learner completes the certification on July 15, 2023, then the due date for renewal will be July 31, 2024.

Next, you can identify Renewal Window, which is the number of days prior to expiration that the certification will be reassigned. By entering 90 days here, the learner will have 90 days before the certification expires to complete the renewal. 

The Restart Start Date on Re-enrollment option enables the automatic resetting of start dates for users who have been unenrolled and are now re-enrolled.  You can choose from the following three options:

  • Inherit: The Offering will inherit the Reset Start Date on Re-Enrollment and the Minimum Period of Unenrollment conditions set at the learning path level if enabled.
  • Yes: On re-enrollment, the learner's start date is set to the new enrollment date. If Yes is selected, you can indicate how many days they need to be unenrolled for the reset to apply.
  • No: Maintains the original start date upon re-enrollment, keeping the course's expiration status unchanged.

Create and Review Certification Offering

After you configure the offering's settings, click on Create. The screen will refresh to show the offering details screen. The green play button with two arrows circling indicates that the offering is recurring or expiring, known as a certification offering in the system.
