How to Create a Learning Path as a Team Admin

All About Learning Paths
What is a Learning Path?
Learning paths help organize courses into groups, allowing for targeted delivery to learners and comprehensive reporting on learners' progress and completion rates. It differs from a Career Path because it can be crafted from any set of courses, while Career Pathways are pre-determined sets of courses.
Creating Learning Paths looks a little different, depending on your system role. Learning Paths can be created by: Team Leaders, by Team Admins, or by System Admins.
Navigating Learning Paths as an Admin
To view learning paths, click Learning Paths under Course Management on the Administrator Menu.
This screen displays the current learning pathways in your system and allows you to search/ filter to find specific offerings. To view more details about the learning path or make any necessary edits, click on the learning path's name. From here you can navigate through the tabs to view details and edit as needed.
Use the Learning Path tabs to:
- The View tab displays an overview of the learning path's details, including name target completion days, and sections.
- The Edit tab allows you to change and update the learning path's details and configurations.
- The Sections tab allows you to view all courses within each section, edit section details, and add more sections and courses.
- The Targeting tab allows you to review or edit targeting conditions for the learning path.
- Here, you can select an enrollment type to define how learners access the learning path. The type of enrollment can be mandatory, self-enrollment, authorized, or purchasable.
- Targeting allows you to enroll an entire User Group, Organization, or Sub-Organization at once and continues to enroll any new users added to the group or organization.
- The Enrollments tab allows you to enroll, search, and view all users enrolled in the Learning Pathway. From this tab, you can enroll and unenroll users as needed.
- The Categories tab allows you to group Learning Paths into a Category on the Catalog Page.
- The Pre-Requisites tab allows you to identify training that must be completed before the learning path can be attempted.
- The Triggers tab allows automated actions to be taken upon Completion or Enrollment in the Learning Path.
- The Emails tab shows any emails sent relating to the learning path.
- The Audit tab shows any edits made to the Learning Path.
To Create the Learning Path as an Admin, you will:
Create the Learning Path as an Admin
- From the Learning Path screen, click Create Learning Path.
- Utilizing the mandatory fields, you can identify where and how to save Learning Paths.
- Use the destination folder to determine where the learning path will be stored. To identify the destination folder, click on the search icon and then click Search or Browse and expand the folders.
- Under your company folder, you'll typically have two sub-folders: a copy of the central course library and a folder for custom content.
- Expand the Custom Content folder and double-click the folder where you want to save the learning path.
- Next, review the options for Inherit Folder Enrollment Conditions. These will typically remain Yes, but can be switched to No if needed.
- Then, enter a name to serve as a clear label and title for the learning path.
- Lastly, the modality should be set to Learning Path.
- Once all necessary fields are complete, you will click on Create.
Learning Path Settings as Admin
- Don't forget to set the Target completion days, which indicate the number of days from enrollment this learning path is expected to be completed. By entering 30, the due date will be 30 days from the day of enrollment.
- The completion type can be either Dynamic or One-and-Done.
- Dynamic means that learner must maintain completion of all mandatory courses even when new courses are added. Dynamic learning paths are useful when using the Skills Matrix.
- One-and-Done means the learner only needs to attain completion of all mandatory courses once. If any courses are added or expire, they will be handled outside of the learning path, and the learning path will remain marked as complete. One-and Done learning paths are good for on-board training that is only expected to be done once.
- The Reset Start Date on Re-enrollment option specifies whether individuals will be required to complete training again if they leave or are unenrolled and then return at a later date. If this option is marked Yes, you can indicate a minimum period of unenrollment for it to take place.
- The option for Show Objects in Learning Path Only indicates that courses will only appear in the learning path, without separate listings in the catalog or on the Home screen. If you set this option to No, the courses will appear outside the learning path and in the catalog.
- Certificate Display: When Yes is selected for Certificate Display, you must identify the Certificate PDF Template using the Search icon for your custom certificate. If you don't have a custom certificate, click No.
Creating Sections in the Learning Path as an Admin
Now that the learning path is created, you will add content. The first step of adding content is to create a section.
- Go to the Sections tab.
- Click Add New Section.
- Enter a name and add a description.
- Set Completion Rules to decide if the courses are mandatory, optional, or if only some are mandatory (in which case you must specify the number of courses required to complete the section). Typically, courses within learning paths are mandatory.
- The option View Availability After Completion permits learners to revisit content they've completed. If you want the courses to be locked upon completion, select No.
- When fields are complete, click Create.
Adding Courses to Learning Paths as an Admin
Now that a section has been created, the next step of adding content is to add courses to the section. To add courses:
- Click the search icon. Click Browse to view the whole catalog or search using keywords. For example, to add safety courses from the catalog, use the code SAF and click search to highlight all safety courses available.
- Double-click on the courses you wish to add to the learning path. To add more courses, click Clear and then search for additional courses.
- When you are done adding courses, close the search window and click Save. The Sections tab will now show all added courses.
Editing Sections as an Admin
To update the section's details, click on Edit Section.
- To add more courses to the section, click on Add Courses.
- Or to change the sequence of courses within the section, click on Reorder Courses. From here, you can rearrange courses by selecting a course and using the arrows to reposition it.
- Once you are done reordering, click on Save to view updated sections.
- To remove a course, click the action drop-down of the course and select Remove.
Publishing Learning Paths as an Admin
Once you have a section containing at least one course, you can complete the final step of creating a learning path, which is to publish the learning path. Go to the View tab and click on Publish.
Enrolling Users with Targeting as an Admin
Targeting allows you to enroll an entire User Group, Organization, or Sub-Organization at once and continues to enroll any new users added to the group or organization to your selected Learning Path. It also enables you to select an enrollment type to define how learners access the learning path.
- Mandatory Enrollment: Learners are directly enrolled in the learning path and cannot unenroll. The learning path will appear on their Home screen and require completion.
- Self Enrollment: Learners have the option to enroll in the learning path from the catalog screen, with the flexibility to unenroll at any time.
- Authorized Enrollment: Learners must request to be enrolled.
- Purchasable: The Learner must purchase the course to enroll.
Typically, you'll set targeting as Mandatory Enrollment when enrolling users in a learning path. Click override since there are no default conditions.
The Targeting tab allows you to set enrollment conditions and then enroll a user, organization, or user group. After you have set the targeting condition, you can add users to the learning path. With targeting, you have the option to enroll a single user, all users in the organization, or a user group.
To add users, click the Search icon to find the group you wish to add, then Select your groups. Once you have selected the user groups you wish to enroll, close the search window and click Save.
Note on Enrollment: By adding the user group to the learning path, any future users added to that user group will automatically be assigned this training!
To verify the users from the user group have been enrolled in the learning path, go to the Enrollments tab. From the enrollments tab, you only have the option to enroll individual users.
- You can enroll individual users to the learning path from here, but enrolling users from this tab automatically sets it as Mandatory, and you will be unable to change the condition of enrollment.
